Ski Famille Ltd (“We”) are committed to protecting and respecting your privacy.
This policy (together with our terms of use and any other documents referred to therein) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.
For the purpose of the Data Protection Act 1998 (the Act), the data controller is Ski Famille Ltd of 1 Kings Road, Fleet GU51 3DL.
Who are we?

We are not required to have a data protection officer, so any enquiries about our use of your personal data should be addressed to the contact details above.
How does the law protect you?
As well as our own privacy policies, you are protected by law. The scope and requirements of data protection were updated in the General Data Protection Regulation adopted by the UK government in May 2018. In this section we will explain how it works.
The law says that we are allowed to use/hold personal information only if we have legal grounds to do so. This includes sharing it outside Skiworld. You also enjoy rights to view your information, restrict its use and to have it deleted (subject to certain statutory or legal considerations). We explain more about this here.
What personal information do we collect about you?
As part of every recruitment process, we collect and process personal data relating to job applicants. This will include but is not limited to:
- Your name, address and contact details, including email address, telephone number and date of birth
- Details of your qualifications, skills, experience, employment history, other relevant experience and achievements
- Whether or not you have a disability/dietary requirements for which we need to make reasonable adjustments during the recruitment process
- Proof of your entitlement to work in the UK
- Equality monitoring information, including information about your gender, ethnic origin, sexual orientation, sexual identification, age, health and religion or belief.
- Employment references and the results of any pre-employment screening
- The outcome and results of any interviews or tests which formed part of the recruitment process
- Pay details, national insurance number, tax coding and details of the bank or building society account
- We collect this information in a variety of ways. For example, data might be contained in application forms, CVs or resumes, obtained from your passport or other identity documents, or collected through interviews or other forms of assessment, including tests and/or online tests.
We will also collect personal data about you from third parties, such as references supplied by your former employers, information from employment background check providers and information from criminal records checks. Data will be stored in a range of different places, including on your application record, in electronic HR Management Systems and on other IT systems (including email).
Why do we need to collect and use personal data about you?
We need to collect and process data during the recruitment process and to make offers of employment to each successful candidate.
We will use this information to:
- Communicate with you about job applications made and provide you with alerts about vacancies for roles you have indicated you will be interested in;
- Evidence how you meet the requirements of the job being applied for;
- Make decisions about whether and how to progress your application through the various stages of the recruitment process;
- Initiate pre-employment and employment checks when job offers are made;
- Enter into an employment contract with successful candidates;
- Help us maintain and promote equality in the workplace.
We process personal data because it is necessary to comply with our legal obligations which change throughout the recruitment process:
- Consent: We use the personal data in your candidate profile to communicate with you and provide you alerts about vacancies for roles you have indicated you will be interested in.
- Contract: Processing your data is necessary to move your application forward before signing a contract of work. This concerns employment or pre-employment checks.
How we use your Personal Information
We’ll use your information for a variety of different purposes, some of which will depend on the services that you engage us for. This includes:
- To send you service communications and support services;
- To process your job applications. We will use your information to process any job applications that you submit to us, whether directly or via an agent or recruiter (speculatively or in response to any ad) on the basis of our legitimate interest to recruit new employees or contractors;
- To optimise our sites. If you use our sites , we will use your information to ensure that the content from our websites are presented in an effective manner for you and your device, to provide you with access to our site in a manner that is effective, convenient and optimal, and to provide you with content that is relevant to you, using site analytics and research and in certain circumstances combining that with other information we know about you (on the basis of our legitimate interests to operate and present an effective and convenient website to our website users);
- To ensure security and protect our business interests. In certain circumstances, we use your information to ensure the security of our services, buildings, and people, including to protect against, investigate and deter fraud, unauthorised or illegal activities, systems testing, maintenance and development (on the basis of our legitimate interests to operate a safe and lawful business or where we have a legal obligation to do so);
- To conduct research. We use your information to carry out aggregated and anonymised research about general engagement with our services and systems, or if you choose to participate in surveys, consumer focus groups and research (on the basis of our legitimate interests to improve our products, services and customer service); and
- To comply with our legal obligations. In certain circumstances, we will need to use your information to comply with our legal obligations, for example to comply with any court orders or subpoenas (on the basis of our legitimate interests to comply with a legal obligation).Whenever we use information, we will always limit this to only what is needed and ensure that it is used safely and securely. We require anyone we share information with, or who uses it on our behalf, to do so too.
Our staff receive regular training on data protection and information security.
Who has access to your personal information?
Your information will be shared internally for the purposes of the recruitment process and only be accessed and processed by authorised personnel for the performance of their duties such as:
- Recruitment and Resourcing Team
- Hiring Managers
- People named by candidates as referees
- Overseas Team
We will not share your data with third parties, unless your application for employment is successful and we make you an offer of employment. We will then share your data with:
- Former employers to obtain references for you;
- Disclosure and Barring Service to obtain necessary criminal records checks;
- Our third party payroll provider, to process salary and payroll information;
- Airports, immigration / border control and/or other government authorities. Some destinations require airlines and tour operators to provide Advance Passenger Information (API) about you to the border/immigration authorities of the country of your travel destination. API comprises the basic information contained in your passport that you would be required to present on your arrival. In addition, laws in certain destinations such as the USA and other countries require airlines to provide certain additional advance information about you and your travel arrangements. We will provide this information where we are required to do so;
- Courts or advisers. We share your information with other third parties (including legal, accountants or other advisors, regulatory authorities, courts and government agencies) where necessary to enable us to enforce our legal rights, or to protect the rights, property or safety of our employees or where such disclosure may be permitted or required by law.
We will not transfer your data outside the European Economic Area. The only exception to this will be for International Recruitment when your data may be transferred outside the European Economic Area (EEA) as part of the recruitment process, in order to conduct the necessary checks to employ you and to comply with other legal and Home Office requirements.
Any such processing will be carried out strictly in accordance with UK and EU privacy legislation.
How do we protect data?
We strive to constantly keep our security practices under review to make sure that we’re keeping your information as safe as possible. We use a variety of different technical and operational security measures to protect your information against unauthorised access or unlawful use. For example we:
- Ensure the physical security of our offices;
- Ensure the physical and digital security of our equipment, devices and systems by making sure they are in good working order, mandating appropriate password protection, encryption and access restrictions;
- Ensure appropriate access controls so that access to your information is only granted to those of our people that need to use it in the course of their work;
- Deliver data protection and confidentiality training to make sure our people also understand their responsibilities in looking after your information and commit to taking appropriate measures to enforce these responsibilities.
- In certain circumstances information that we collect about you will be sent to and held by us in countries outside of the EU.
Countries outside of the EU protect information differently so where we transfer your information to suppliers outside of the EU, we will take all steps necessary to ensure that it is adequately protected and used in accordance with this Privacy Policy.
How long will we keep your information?
We only keep information for as long as it is needed.
If you register and agree to allow us to keep your personal data on file, we will hold your data on file for up to 24 months from the date of your last access/update. At the end of that period, your data will be deleted or anonymised.
If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your employee file and retained during your employment with us. This data will be held on file for up to 7 years.
Third Party Processing
We have a number of contracts with third party suppliers and service providers e.g. Payroll providers, who provide specialist services. These third parties will process candidate information in accordance with our instructions and make decisions regarding the information as part of the delivery of their services. They are also required to put in place appropriate security measures that ensure an adequate level of protection for personal information.
What Rights do you have?
You have a number of rights relating to the data we hold about you. These include the right to:
- Ask to see the personal information we hold about you
- Withdraw consent
- Ask us to change information we hold about you if it is wrong
- Ask us to delete the information we hold about you
- Ask us to limit the way we use your personal Information
- Ask for human intervention regarding decisions made about you by a computer
- Data portability (have your data transferred to another Authority)
- Complain to the Information Commissioner’s Office

What if you do not provide personal data?
You are under no statutory or contractual obligation to provide data to Ski Famille during the recruitment process. However, please be aware that if you decline, it will not be possible for your application to progress as we will be unable to process the data needed to do this.
